Beyond First Aid: Medical Planning and Event Safety

Business Executives Interacting With Each Other

Event safety is often associated with stewarding and security, but from a medical provider’s perspective it is a fundamental part of the overall safety management of an event. Medical provision should be proactive rather than reactive, reducing risk through early planning and appropriate deployment. Involving medical providers at the planning stage allows risks to be properly understood, including crowd profile, event duration, environment, alcohol consumption and access limitations, all of which directly influence the type and level of medical cover required.

In the UK, best practice is guided by the Green Guide and the Purple Guide. The Green Guide, which applies primarily to sports grounds, highlights the importance of medical planning alongside crowd safety, capacity management and emergency access. Medical teams must be integrated into venue emergency plans, with clear access routes and communication links. The Purple Guide, used for outdoor events and festivals, places strong emphasis on risk‑based and proportionate planning. From a medical perspective, this means tailoring provision to realistic risks such as weather, terrain and audience behaviour, rather than relying solely on attendance numbers.

Effective event medical provision relies on accessibility, communication and preparedness. Medical teams must be able to reach casualties quickly, operate safely in high‑density areas and meet the needs of all attendees, including those with disabilities or pre‑existing conditions. Clear communication with event control and other agencies allows emerging trends, such as heat illness or alcohol‑related incidents, to be identified early and managed appropriately. Teams must be suitably trained and equipped to manage most presentations on site, with clear escalation pathways in place to avoid unnecessary pressure on local emergency services.

Ultimately, good medical planning supports safer events, protects public health and enhances overall resilience. When medical provision is fully integrated into the wider safety framework outlined in the Green and Purple Guides, events are better prepared to manage risk and deliver a safer experience for everyone involved.
